Decommissioning of alumni email accounts

Royal Holloway will be decommissioning the alumni email service to improve our cyber security position and enhance the safety and security of our university and community.

From 21 June 2023, users of alumni email accounts will no longer have access to the service; accounts and all associated data will be deleted, and you will be unable to retrieve your accounts. You can still log in to your account before this date to make sure you get all the data you want to keep.

Accessing your account
  • logIn at mail.live.rhul.ac.uk
  • If you graduated in 2018 or before, your email address to login will be in the format of username@alumni.rhul.ac.uk (e.g. abcd123@alumni.rhul.ac.uk) 
  • If you graduated after 2018, your email address to login will be in the format of username@live.rhul.ac.uk (e.g. abcd123@live.rhul.ac.uk) 
  • Your password will be the same one you have always used to login to your account.

Saving your data

If there is information that you would like to keep, there are steps you can take before your account is closed.

If you only have a small amount of data you’d like to move over, you can manually forward any emails and details you want to keep to any other existing email account you have. 

If you would like to save a larger amount of information, including email messages and contact information, our instructions below outline how you can do this.

Copy data from your university account to a different one: 

  • Download an email provider (such as Microsoft Outlook, Mail, or Mozilla Thunderbird), and create a mailbox file 
  • You’ll then be able to export your university emails and contacts to your other mail account  
  • With Outlook as an example, you will be able to move emails and contacts from your university email to another account by creating a .pst file. Instructions for doing this are on Microsoft’s support page.

Please note: our more recent graduates may also have other information saved via their university OneDrive. You will need to copy any data you’d like to keep out of your university account before 21 June.

If you have forgotten your username or password, you will need to fill out this form with your details. You will need to provide us with some information so we can verify your identity, and then the IT Services Team will be in touch about how to access your account within 21 working days. 

We apologise for the disruption this change may cause. Please refer to the instructions at the top of the page which provides guidance on saving your data and ensure you provide your contacts with an alternative email address to reach you. Your account will remain active until 21 June 2023 to provide time for you to complete the required actions.

After 21 June 2023, any emails sent to an alumni account will bounce back to the sender. Please ensure you provide your contacts with an alternative email address to reach you from 22 June 2023.
